Form tabs
Use this form to provide a user's personal information and specify that user's access to FirstClass features. Settings on this form override all settings that were specified elsewhere for this user.
Only the administrator and users with the Edit user information privilege can modify this form.
Mail import button |
Opens the remote messaging setup form for this user. The information you enter on this form enables FirstClass to retrieve POP3 mail from an ISP account. |
Preferences button |
Opens the user's Preferences form. Because some preferences are stored on the user's computer, not all changes you make here will take effect. |
Résumé button |
Opens the user's résumé. The administrator can edit this résumé. |
Desktop button |
Opens the user's Desktop. |
User Information tab
Use this tab to add personal information about the user.
First name |
The user's first or given name. |
Initials |
The user's initials (optional). |
Last name |
The user's last name, or surname. Note If you selected "Require unique user names" in the System Profile, FirstClass will not allow duplicate user names in the Directory. If the name you enter in the above three fields is not unique, you will receive an error message when you try to save this user account. Change one or more of the name fields. |
Address |
The user's address (optional). |
Tel |
The user's phone number (optional). |
Fax |
The user's fax number (optional). |
Comments |
Any other useful information about the user (optional). |
Custom ID |
This field is for integration with external applications. It can be used by external applications to store a database "key" in order to tie the FirstClass account to an external system. For example, the custom ID for each student could be the student number. |
LDAP controlled user |
Select this for all users owned by the external LDAP server when you don't want to replicate. If replication is turned on, this field is set automatically by FCDS. |
User ID |
A unique user ID representing the user. The user ID consists of alphanumeric characters, including punctuation and spaces (for example, sandy: 2). Leading and trailing spaces are removed automatically. To strengthen security on your system, we recommend that user IDs not be related to user names. Include both numbers and letters in the user ID. A user ID should not be completely numeric, because this could conflict with the user IDs used by gateway accounts. To keep user IDs confidential, do not grant users the View user information privilege or use the Use user IDs as aliases
feature. |
Password |
The user's password. To make it hard for someone to guess a password, it should mix numbers and letters. Set password security options on the Group Privileges form. This field will always display •••••••• for security purposes. The administrator cannot see or get the user's password, but can change the user's password. |
Client ID |
A unique number is assigned automatically to each user registered on your server. When combined with your server serial number, this number uniquely identifies the user within your network of FirstClass servers. |
Class |
The user type. Regular users use a regular license. Remote users use a session license. |
Mail aliases |
All of the user's Internet mail aliases, separated by commas. For example, the user John Smith might have the aliases jsmith and john_s. Aliases specified here will overrride aliases specified on the Aliases tab of the Advanced Directory form. Internet mail aliases must not contain spaces or nonUS 7-bit characters, and they must be unique to your system. Do not include the domain name, unless it is not your primary domain name. For example, if a user on the Husky Planes site, whose primary domain is huskyplanes.com, wanted an alias of tom but also one of tom@sales.huskyplanes.com, you would type tom,tom@sales.huskyplanes.com in this field. Note For multiple aliases, the first alias listed is the default used as the "From" name for outgoing Internet mail, although users will have the option of choosing their preferred alias when addressing a message. Incoming mail will be accepted if it is addressed to any of the aliases, provided they are unique. If domain names are used in aliases, Internet Services will only accept incoming mail for domain names that resolve on your server. If you enter an alias on this form and also enable "Use user IDs as aliases" or "Use initials and last names as aliases", a duplication may occur when you add another user. |
Voice DN |
If you are a FirstClass Unified Communications customer, enter the user's DN(s) in this field. The internal DN that exists on your phone system must be the first DN entered if the user has multiple DNs. A DN is any valid phone number (with area code) that the user wishes to link to his FirstClass Unified Communications Mailbox. Separate multiple entries with commas. Caution Entries in this field wrap automatically. Do not enter extra spaces, carriage returns or tabs in this field. |
Voice password |
If you entered a Voice DN, enter an initial password for this user. The user must change the password the first time he logs in using the phone. No matter how many valid DNs a user has, there is only ever one voice password. This field will always display •••••••• for security purposes. The administrator cannot see the user's password, but can change the user's password. |
Created |
The date the user account was added. FirstClass updates this field when saving the user account for the first time. |
Where |
The volume on which the user's Mailbox is stored. You can select a different volume for new users, and move existing accounts to new volumes. |
Last logged in |
The date on which the user last logged in. FirstClass updates this field each time the user logs in. |
Time used |
The length of time the user has been logged in on the current day. Note FirstClass updates this field when the user logs out. |
User Groups/Directory tab
Use this tab to enter and organize the user groups that this user belongs to.
User belongs to these groups |
The list of user groups to which this user belongs. Membership in a user group provides the features and options of the group, and applies the group's Model Desktop to this user's Desktop. The order in which you enter these groups determines the order in which privileges are set. If you are using FCDS in LDAP mode, the order also determines the Directory's tree view. Be sure to enter the groups in their hierarchical
order, with the group associated with the highest-level organizational unit first. |
Allow user to view these groups |
Limits what this user can see in the Directory. His view is unrestricted (inherits any restrictions from the Group Privileges forms) if you either leave this field blank or enter the All Users and All Conferences groups. You can include conference group names in this list. If you want this user's Directory view to list only certain user groups, but all conferences, include the All Conferences group in the list. Use
this privilege as a security feature, to assure the privacy of certain groups, or as an economy measure, to reduce Directory synchronization time. |
Features tab
Use this tab to set unique privileges for this user. The "Set" checkbox selects or clears a privilege. The "Current" checkbox tells you whether the user currently has this privilege based on user group memberships.
Note
Features and privileges should be set on the Group Privileges forms for individual user groups. This form should be used for exceptions only.
Desktop section
Calendar |
Allows this user to share FirstClass calendars. If the user does not have this privilege, he can still use the calendar for personal scheduling, but cannot invite others to events. |
Contacts |
Allows this user to use personal email addresses and mail lists. Users without this privilege can add entries to their Contacts folder, but cannot address mail to these entries. |
Publish web site |
Allows this user to publish a personal web home page. This home page can be accessed using HTTP and FTP. If a user does not have a web site, their résumé will be displayed to anyone trying to access their web site. You should make sure that users understand that their résumés may be published to the Internet. |
Share documents |
Allows a user to publish content stored in their personal My Shared Documents folder. |
Messaging section
Private mail |
Allows this user to send private mail. Users without this privilege can still receive mail. |
Unsend |
Allows this user to retract sent messages. Even with this privilege, users cannot unsend messages that have been sent through a gateway (Internet mail, for example) or moved. |
Forward |
Allows this user to forward mail in her Mailbox and in conferences. When the user forwards a message, FirstClass creates another copy of the message, requiring additional storage space. Therefore, you might want to restrict this privilege. |
Set expiry |
Allows this user to change the expiry date for an outgoing message. The expiry set by the user overrides any other expiry settings, such as those defined for a conference. Users without this privilege can still change the expiry of messages in their own Mailboxes. |
Make urgent |
Allows this user to mark messages Urgent. Because your system and some gateways can be configured to process urgent mail on a priority basis, you might want to restrict this privilege. |
Receipt notification |
Allows this user to turn on receipt generation. Because receipt notifications can increase message traffic on your server, you may want to restrict this privilege. |
Mark as unread |
Allows this user to toggle messages' unread flags on and off. If the user removes a message's flag before opening it, no receipt will be generated when the user reads the message, and the user's name will not appear in the message history. |
Program mail rules |
Allows this user to set up personal mail rules preferences. |
Mailbox permissions |
Allows this user to edit their Mailbox permissions. |
Make voice call |
Allows this user to make phone calls from their FirstClass client or web client by right-clicking the recipient's name and choosing "Call User". The recipient must have a valid DN dialable by Voice Services. The caller must have physical access to the phone listed first in the "Voice DN" field on his User Information form when using this feature. You must be a FirstClass Unified Communications customer to enable this feature. |

Conference mail |
Allows this user to send mail to conferences. Users without this privilege can still read messages in any conferences for which they have the appropriate permissions. |
View presence |
Allows this user to view the online status of other users and to view Who's online. |
View résumés |
Allows this user to view other users' résumés. |
Create résumé |
Allows this user to share a personal résumé. If users do not have personal web sites, their résumés will be displayed to anyone trying to access their web sites. You should make sure that users understand that their résumés may be published to the Internet. |
Instant messaging |
Allows this user to engage in real-time online text-based conversations. The names of users without this privilege are displayed in italics in the Directory and Who's Online lists. Users without this privilege can still receive and accept chat invitations from the administrator. |
Join chat rooms |
Allows this user to engage in real-time online text-based conversations in public chat rooms. |
Create chat rooms |
Allows this user to create public chat rooms. Users can only create public chat forums in conferences in which they have permission to create subconferences. |
Share contact databases |
Allows this user to create shared contacts databases. |
Share conferences |
Allows this user to create new conferences on their Desktops, or in any container in which they have permission to do so, and subscribe others. This privilege works with the Create conferences permission; users can only create subconferences in conferences for which they have this permission. |
Share calendars |
Allows this user to create new collaboration calendars. |
Publish Directory names |
Controls whether named objects are published in the Directory. Works in conjunction with Share conferences and Share calendars privileges. If this is not enabled for a user, conferences and calendars created by the user will not be listed in the Directory, including the admin Directory. These conferences cannot receive mail. |
Share workspaces |
Allows this user to create workgroups in his personal workspaces. |
Admin status section
Subadministrator |
Allows you to designate members of this group as subadministrators. |
Monitor server |
Users with this privilege can toggle debugging and logging options and other commands that dump information, as well as open all server monitors and get server statistics. |
Maintain server |
Users with this privilege can do anything accessible to those with Monitor server privilege, plus: • start or stop an audit • request fast and polite shutdowns • send broadcasts • force logoff non-admin/maint/mon users • start gateways • reset services and modems • disable and enable logins • change server priority • pause, continue, resync mirrors • request a snapshot hold or release |
Content section
Upload |
Allows this user to attach files to messages and upload files. For sending attached files to conferences, this privilege works with the Send permission; users can only send attached files to conferences for which they have this permission. For uploading files directly to conferences, this privilege works with the Create items permission; users can only upload files directly to conferences for which they have this permission. For Unified Communications users, this privilege is required to create voice messages. |
Download |
Allows this user to save attachments and download files from external folders and conferences. This privilege works with the Download permission; users can only download from conferences for which they have this permission. For Unified Communications users, this privilege is required to listen to voice messages. |
Copy to clipboard |
Allows users to copy and paste FirstClass content. |
Save to local disk |
Allows users to save FirstClass content to a local machine. |
Printing |
Allows users to print FirstClass content. |
Special status section
Does not expire |
Prevents this user from being deleted automatically if his account is inactive. This privilege overrides the System Profile setting that specifies the number of days of inactivity after which users are normally deleted. |
Secure |
Prevents the administrator and subadministrators from viewing this user's Desktop. |
Unlisted |
Makes the Directory entry for this user visible only to users with the View unlisted privilege. Only users with the View unlisted privilege can send mail to unlisted users or view them in the Who's Online list. |
View unlisted |
Allows this user to view unlisted entries (such as conferences or user names) in the Directory and the names of unlisted users in the Who's Online list. |
View user information |
Allows this user to view other users' information forms. On the user information form of another user, the password field is blanked out, but the user ID is visible. Users with this privilege see the user information form in place of the résumé. From the user information form, users can display the other user's résumé, but they cannot open that user's Desktop or preferences. If you consider user information to be sensitive, restrict access to this privilege. |
Edit user information |
Allows this user, if she also has the View user information privilege, to change all information on user information forms, including passwords. You can use this privilege to delegate administrative tasks without granting full administrator powers. Users with this privilege cannot open the Desktop or preferences of another user, designate subadministrators, or edit the user information forms of the administrator or subadministrators. |
Create voice menus |
Allows users to create personal voice menus. You must be a FirstClass Unified Communications customer to enable this feature. |
Allow mail relay |
Allows users to use relaying. |

Use this tab to override this user's group activity and disk usage limits, and to view the current activity and disk usage of this user.

Allows this user to edit his own preferences and password, and create and edit his own résumé. You might want to disable this privilege for guest accounts, to make sure the accounts are always left in the same state. |
Change password |
Allows this user to change his login password. |
Manage presence |
Allows this user to set personal presence preferences on the Preferences form and customize Desktop (such as icon placement). |
Auto forward |
Allows this user to set up autoforwarding and redirecting of messages. |
Auto reply |
Allows this user to set up auto reply messages. |
Mail import |
Allows this user to set up POP3 mail import. |
Time zone |
The time zone where the user normally works. Default is the time zone set on the System Profile. |

Allows this user to access the server using FirstClass client software. |

Allows users to access the server using a web browser. |
Voice client |
Allows users to access the server using Voice Services using a telephone. Users can also receive voice and fax messages in their mailboxes. You must be a FirstClass Unified Communications customer to enable this feature. |
Command line |
Allows this user to access the server using a terminal, Telnet, or a terminal emulator. Note If all of the above access privileges are disabled, this user cannot log in. |

Allows users to access the server using POP3 and IMAP4. |

Allows users to access the server using FTP/CIFS clients. |

Allows users to access the server using LDAP/finger clients. |
Work offline |
Allows this user to use FirstClass Personal to access the server. Remote users cannot use this privilege. |
Limits section
Daily connection limit |
The maximum number of minutes this user can connect to the server during one day (from 12:01 AM to midnight). For unlimited time, choose Unlimited. The value set in this field overrides the "Daily connection limit" field on the Group Privileges form. If this user is logged on multiple times with the same user ID, he is considered to have been logged on for the total elapsed time for all his current connections. For example, if he has a limit of 120 minutes and has two concurrent sessions, both at 60 minutes, he has used up the allotted time. |
Session inactivity limit |
The maximum number of minutes this user can be inactive during a session before being logged off. |
Disk space limit |
The maximum amount of disk space, in kilobytes, allowed for this user. Once this limit is reached, this user can no longer create items such as messages and documents, but can still receive mail. |
Disk space used |
The total amount of disk space currently used by this user. |
Maximum number of multi-match names |
The maximum number of names that will be listed in this user's view of the Directory when her search results in multiple matches. To require exact matches, thus forcing users to know the name of the person or conference they are searching for, set this value to 1. |
