Madelyn Fraser is the principal at Avalon Academy. She has decided to reorganize her contact list, as she has school contacts mixed up with personal contacts, and she wants to share some of her contact information with others.
To accomplish this, she
creates contact databases within her Contacts folder for the different types of contacts, and shares these contact databases with others
adds rich content, such as pictures and links, to some of her contact information
uses personal address forms that are familiar to users.
Creating contact databases
Madelyn creates contact databases within her Contacts folder for personal contacts, teachers, supply teachers, school administration, and emergency numbers.
She shares her supply teacher information with a teacher who is going to be absent for a week by giving him permissions to view that contact database. These are the permissions for the Supply Teachers contact database.
She also subscribes the teacher to the contact database by entering his name in "List of subscribers". This puts an alias of the database on the teacher's Desktop. To access the database items, the teacher simply drags the database into his Contacts folder.
Adding rich content
Madelyn adds links to some of her contacts' web pages on their personal address forms. Also, she has some pictures on file that were taken on a recent field trip, so she attaches them to the personal address form of that teacher.
Changing the personal address form
Madelyn wants to share her Supply Teachers contact database with a new teacher who was recently hired from a school board that used Microsoft Outlook's contact management. To make the transition easier for him, Madelyn changes the personal address form used by the Supply Teachers contact database to one that would look familiar to Outlook users.
She does this by choosing Outlook at "Form to use" in the Supply Teachers contact database's permissions form.
